How much does enterprise AI integration cost?

Audit, integration, managed monthly fee: real numbers for AI integration in mid-market companies. What drives cost, what's included, and how to calculate ROI.

In brief: the cost of AI integration isn't "the cost of AI" — it's the cost of solving a specific problem in your company. It depends on the number of systems to connect, process complexity, and data quality. The journey breaks into three phases: audit (low investment, 1–2 days), integration (variable), managed monthly fee (predictable). The audit is the low-risk entry point: you see the numbers before you spend.


The question everyone asks (and why it doesn't have a simple answer)

"How much does it cost?" It's the first question any business leader asks. And it's the right one. But giving a single number would be dishonest — because the cost of AI integration depends on what you want to solve, not what you want to buy.

Connecting AI to one ERP system and one email platform for natural language queries on order status is one thing. Integrating five different systems, automating report generation, activating predictive alerts, and training forty people is another.

Both are AI projects. But the cost is different, the timeline is different, and the return is different.

The 3 phases of cost

AI integration isn't a one-time purchase. It's a three-phase journey, each with different cost and value dynamics.

Phase 1: the Audit (the entry point)

The Aitaky Audit takes 1–2 days. We come on-site, map your processes, interview the people who do the work, and analyze the systems in use. The output is a report with numbers: where AI adds value, how much you can save, and what to prioritize.

It's the smallest investment and the most important one. It gives you three things: certainty that AI makes sense for you (or that it doesn't — and we tell you), an action plan with priorities, and an estimated savings figure. You decide how to proceed after seeing the numbers.

Phase 2: the Integration (the project)

If the audit confirms that AI delivers value, we move to integration. This is the variable phase — and four factors drive the cost.

First: the number of systems to connect. Connecting Aitaky Brain to one ERP and Microsoft 365 is simpler (and less expensive) than connecting it to an ERP, CRM, ticketing system, document archive, and three network shares.

Second: the complexity of the processes being automated. A natural language query on order status is different from a demand forecasting system based on seasonal sales data.

Third: data quality. If your data is clean and structured, integration is faster. If it's scattered, duplicated, or in inconsistent formats, preparation work is needed — which we handle through our Aitaky Data service.

Fourth: the number of users. Training and supporting five people is different from fifty.

Integration includes: Aitaky Brain installation (the on-premise device that runs AI on your network), connector configuration to your systems, testing with your team, and initial training. It typically takes 2 to 6 weeks.

Phase 3: the Monthly Fee (the managed service)

After activation, Aitaky Brain becomes a managed service. The monthly fee includes: 24/7 monitoring, software and security updates, monthly usage reports, and priority technical support.

This is the most predictable cost — a fixed monthly fee you know in advance. No surprises, no hidden costs. If something breaks, we handle it.

The first year's managed service fee is included with Aitaky Brain activation.


How to determine if the investment makes sense

You don't need a complicated spreadsheet. You need one simple question: how much is the problem AI solves costing you today?

A concrete example. Your production manager spends 35 minutes per day searching for order status information, compiling reports, and answering questions that an automated system could handle. That's roughly 12 hours per month. If the fully loaded cost of that person is €35/hour, the problem costs approximately €420 per month — for one person, on one process.

Add the time others spend doing the same work. Add errors. Add information that arrives late and decisions made without current data.

The calculation isn't "how much does AI cost?" The calculation is "how much does NOT having AI cost?"
